Going Cashless: How Online Fee Collection Works for Schools in Nepal

Paying fees through eSewa or Khalti saves parents a trip and gives accounts staff a live, error-free ledger. What changes, and how to roll it out.

Fee collection is where most school offices lose the most time: queues at the counter, handwritten receipts, cash to count and a ledger that never quite matches. Online payment through wallets parents already use, such as eSewa and Khalti, changes that for both sides of the counter.

What changes for parents

  • No trip to school just to pay. Parents pay from their phone whenever it suits them.
  • Clear dues: the parent app shows exactly what is owed and for which fee items.
  • Instant receipts that can be downloaded any time, instead of paper slips that get lost.

What changes for the accounts office

  • Payments post automatically to the right student's ledger, with no re-typing.
  • Live reports: collection, dues, ledger and summary reports are always up to date.
  • Less cash handling means less counting, fewer errors and less risk.
  • Counter payments still work for parents who prefer them, and appear in the same ledger.

Get the fee structure right first

Online payment only works smoothly when the fee setup is clean. Before you switch it on:

  1. Define fee items clearly: tuition, exam, sports, transport, hostel and so on.
  2. Assign structures per class, with exceptions for individual students where needed.
  3. Set up scholarships and concessions, by percentage or fixed amount, so the system calculates the correct due.
  4. Check opening balances carefully when moving from your old records.
If the dues shown to parents are wrong even once, trust in the system drops. Spend the extra day checking the opening balances.

Rolling it out

  1. Tell parents early, with a short guide in the language they use at home.
  2. Start with one fee cycle and keep the counter open alongside.
  3. Send reminders by SMS or app notification a few days before the due date.
  4. Review after the first month: how many paid online, and what questions came up.

Keep it secure

  • Payments should go through the official gateway, never to a staff member's personal wallet.
  • Remind parents that the school will never ask for their PIN or OTP.
  • Limit who can edit fee records, and keep an audit trail of every change.

Beyond tuition: the cashless canteen

The same idea extends to the canteen. With a smart card, students pay for food from a prepaid balance that parents top up from the app, with spending limits and low-balance alerts. The same card can record attendance at the gate.
